Buying & ownership

What should I record when I buy a new power tool?

Before a new power tool goes into the ute, take a photo, record its brand, model and serial number, and save the receipt. Add the purchase date, price, seller, warranty information and where you keep it. Doing this while the box and paperwork are handy saves a hunt later.

Photograph the tool before the first job

Take a clear whole-tool photo and a close-up of the identification label. Check that the lettering is readable before putting everything away. Record any distinguishing marks you add later.

The model identifies the type of tool; the serial identifies the particular item. Copy it exactly as shown, including letters and leading zeroes. If there is no visible serial, record that rather than inventing one.

Save the purchase trail

Retain receipts and purchase documents, with the date, seller and amount paid. Photograph paper receipts so you can find the details later.

Save an emailed invoice as a file and connect it to the tool record. For a kit, record which tools, batteries and charger were included so you can match them back to the same purchase.

Your new-tool checklist

You do not need to finish every field before making a start. Capture the details that are in front of you and add missing documents later.

  • A whole-tool photo and close-up of the serial label.
  • Tool name, brand and exact model.
  • Serial number, typed and checked against the photo.
  • Receipt or invoice and the seller’s name.
  • Purchase date, price actually paid and currency.
  • Warranty terms, any expiry date and registration confirmation.
  • Owner, usual location and notes about kit contents.

Keep warranty details without making assumptions

Save the supplied terms and check the manufacturer’s instructions for any registration steps or deadlines. Keep the confirmation if you register. Record the terms that apply to your purchase rather than assuming every tool from a brand has the same warranty.

This checklist is about keeping documents. It does not determine your warranty or legal rights, which can depend on the purchase and circumstances.

Put it where you will find it

Give the tool a home in your records as well as your ute. In Toolsie, create its record, add the serial number and purchase details, choose its location and attach the photo and receipt.

Start with the new tool, then add two already in your kit. Three useful records are a better start than a perfect inventory you never get around to making.
